BoldTrail BackOffice allows you to import your agents, contacts/users, and transaction information directly to the platform. This can be done through an Excel template which you can get by contacting our support team through email or chat.

How do I fill the Excel template for importing data?

Red-colored columns are mandatory, while green ones are optional.

Please follow the instructions from the first sheet to fill out the data correctly. Here's how you fill the required fields for each tab:

Transactions

  • Property street address, city, state, and ZIP – enter manually

  • Price sold – input listing price or accepted offer price

  • Transaction status – can be either opportunity (previously Pre-Listing), active (previously Listing), pending, closed, or cancelled.

  • Side represented – can be either listing, buying, or both

  • Transaction type – custom input (for example traditional sale, rent/lease, commercial sale etc)

  • Transaction name – text name entered manually

  • Buyer agreement date – a DD/MM/YYYY format (for example 29/10/2025)

  • Buyer expiration date – a DD/MM/YYYY format (for example 29/10/2025)

  • Creation date / Listing date / Expiration date / Acceptance date / Closing date – a DD/MM/YYYY format (for example 29/10/2025)

  • Total gross commission amount $ – enter manually

  • Office deductions 1 – can be either pre_commission_deduction or post_commission_deduction

  • Office deductions 1 Name – enter manually

  • Office deductions 1 Value $ – enter manually

  • Office deductions Payee Full Name (exactly as in BoldTrail BackOffice) – enter manually

  • Office deductions Payee type – can be either User or Contact

  • Agent 1 First / Last Name / Split Amount $ – enter manually

  • Agent #1 Commission deduction #1 Type – can be either pre_split_deduction or post_split_deduction

  • Agent #1 Commission deduction #1 Name – enter manually

  • Agent #1 Commission deduction #1 Value $ – enter manually

  • Payee full name – exactly as in BoldTrail BackOffice; blank if account

  • Payee type – can be either User, Contact, or Account

Contacts

  • First name – enter manually

  • Last name – enter manually

  • Role, Email, Company, Phone, Address, City, State, Zip, Public or Private – enter manually; these fields are optional

Agents

  • First name – enter manually

  • Last name – enter manually

  • Role – enter manually: Agent, Broker, TC, Admin, Team Lead, Accountant

  • Email – enter manually the email for logging in

  • Anniversary Date, Phone, Address, City, State, Zip – enter manually; these fields are optional
