With the BoldTrail BackOffice eSignature functionality, you can effortlessly sign documents and forms with legally binding eSignatures. And, you can send documents and forms for anyone else in your transaction to eSign.

In addition, you can create eSignature packages with multiple documents and send them for completion and eSignature. You can also create and save eSignature templates for easy access so that you don't have to spend hours re-creating them all. Further, you can send reminders to signers, change signer email addresses, make adjustments to documents and re-send them for completion and eSignature, and more.

Important: Please be aware that the maximum supported file size for eSignature is 25MB.

Is my BoldTrail BackOffice eSignature legally binding?

Yes, BoldTrail BackOffice eSignature complies with all the legal requirements and is legally binding. Digital signatures are secure, time-stamped, and can be organized easily and tied to a contract, transaction, agent profile, and more.

Are required fields highlighted?

Yes, the pdf editor in the eSign mode highlights all the required fields in red.

What is a signer order?

This is the order in which signers eSign documents. With the Assign signer order functionality enabled, you can eSign documents only after they are signed by all the signers that are set to sign before you.

You can enable and set the signer order when sending documents for eSignature. Here’s a short video explaining how to do that:

To have signers sign in no particular order, make sure that the Assign signer order checkbox on the Signers and other parties step of the wizard is deselected. In this case, the documents will be sent for eSignature to all the signers simultaneously. For more information watch the above video.

Adding CC recipients for eSign

BoldTrail BackOffice allows you to add CC recipients before sending for eSign. The interface for CC'ing is available under the Signers list on the Send for eSign window.

By CC recipients will receive an eSign confirmation email (along with the PDF) right after all the signers will complete their signatures.

This feature is particularly useful when you need some people to get the signed document without having them as eSigners.

What happens when a role is reassigned to someone else?

If roles are reassigned to someone else on the final “Send for signature” step, the completed data is wiped out. Then, the new assignee can fill out the document.

Does a signature or initials contain a signature date?

Yes, all signatures and initials contain a date when the document was signed or initialed.

What happens when the eSignature process is interrupted?

BoldTrail BackOffice will not restart the process. You should restart it yourself.

Will I be notified when a document is signed or needs to be signed?

Yes, you will be notified by email when you need to eSign a document or when a document is viewed or eSigned by someone else. You will also receive an email with the signed document attached once it’s signed by all the signers.

What is a package verification page?

It’s a public page with a unique URL for each eSign package.

What info does a package verification page contain?

It contains the eSignature package name, ID, signature status (signed, sent for signature, or canceled), signed date and time, number of pages, and number of signers.

How do I access the package verification page?

The package verification page is accessible with the QR code.

What is a QR code?

A QR code is an image consisting of black squares and dots that can be scanned by any smartphone with a QR code reader application. The QR code contains the link to the package verification page. No need to type lengthy links into a web browser. Scan the QR code and access the package verification page in no time.

Where can I find the QR code?

You can find the QR code on the Activity page under OVERVIEW. When there, locate the event and click the pdf document in it. Then, scroll to the final page titled "Package Certificate".

How to add signers to the form?

You can add multiple signers when e-signing your document in BoldTrail BackOffice. Whether you e-sign a new document or edit an existing one, after selecting the form you will see the SIGNERS AND OTHER PARTIES window. There you can add new signers to the document to populate their contract information.

How to edit contracts after they are signed

You can't edit contracts after they are signed or change data that already has a signature on it. But, you can restart eSign process.

How to duplicate a contract

When editing a document, click Use forms > Select first form > Transaction tab and select the needed document.

How do I eSign documents from the mobile app?

How do I eSign documents from the buyer offer?

After adding a checklist to the buyer offer, near the task, click the three dots icon and select whether you want to Upload the document from your local storage or Use forms. After that, you can select signers and other parties, and proceed with the familiar eSign process.

How does the eSign timestamp work?

BoldTrail BackOffice eSignature adds a time stamp by default, complementing it with a unique hash and BM-SIGNED logo on it. For improved readability, we placed the timestamp behind the signature, so that the eSignature itself can be visible no matter the value of a time stamp.

A few important things to note:

  • The time zone displayed on the time stamp corresponds to the account that sends the document for eSign. If you send a document for eSign from the CST zone (as it is set on your device), another side will see the CST timezone values on the timestamp.

  • When you update or adjust your signatures during the eSign process, the time stamp will be changed as well.

How do I include a time stamp along with the date signed on the document?

Note: this only works if a user has a Can manage library permission.

In the company Library, or within the transaction checklist, select the needed document and click Edit. On the document, select the Date/Time tool and draw a field with the needed size (we recommend making it large enough). After placing the field, you'll see a dropdown selector which will allow you to select the Show date and time option, which reflect when the signer opens a document.

What are the best ways to size fields for eSignature?

  • Try making the field box as large as possible so that it can be clearly read on most screen resolutions.

  • If your field has a ... cut on the date and time, try using a smaller font size so that it will fit the box.

  • If you need to replace a field to another side/page, decrease the zoom of your interface at the top to make it faster.

How do I pull (populate) data from other fields for eSigning a document?

When editing a template in your company Library, the editing modal window will have a Populate with... option displayed.

This feature allows you to pull the various types of data when editing the eSign package within the transaction, such as:

  • Transaction or property fields data

  • Dates

  • Commissions

  • Contacts

  • Company or office info

  • Custom fields (located in the Other section)

  • Calculated formula (learn more here)

How do I download the eSign package with or without the eSign certificate?

Open the needed document (whether it is finalized or partially completed) and on the right section, click the Download dropdown button and select the needed option.
