[BoldTrail Recruit] Watch List (ex Pipeline)

The Watch List shows agents you are watching, their production metrics, and quick actions you can take from the table.

  • Active Recruiting Watch List shows agents on your watchlist along with their total volume, allowing you to gauge their productivity and potential contribution.

  • Users have the option to set a Recruiting Goal within their profile, enabling a targeted approach to agent acquisition.

  • Activity block features a pie chart showcasing various activities undertaken by your agents, providing a visual representation of their engagement.

Adding a сontact to BoldTrail

Once an agent is on your Watch List, you can add them as a contact in BoldTrail Front Office directly from Recruit.

Note: This requires your BoldTrail Front Office account to be integrated with Recruit. If it isn't, you'll see the BoldTrail logo icon instead of the Add Contact button. Click it to be prompted to set up the integration.

To add a contact:

  1. Locate the agent in your Watch List.

  2. Click Add Contact in the Add Contact column.

  3. In the Add Hashtags to Recruit dialog, type one or more hashtags to assign to this contact.

    • Hashtags are optional. If you skip this step, the contact is automatically tagged with #recruit in Front Office.

    • Common examples: franchise sales, new agent, top producer

  4. Click Confirm.

The agent is added to your BoldTrail CRM and any smart campaigns tied to those hashtags are triggered automatically.

Use hashtags to segment agents before they're even in your pipeline. Tagging a prospect with new agent at this stage can automatically enroll them in a nurture campaign in BoldTrail - no manual follow-up needed.

Important: If you see an "Operations not valid" error, this typically means your BoldTrail smart campaign setup needs to be reviewed. The contact may not have been added. Check your Front Office settings and try again.

Adding activity and notes

The Activity feature lets you log interactions with agents directly in Recruit - calls, emails, meetings, or any outreach attempt.

If your BoldTrail is integrated, you may prefer to log activity there (your CRM). This section is especially useful if you use Recruit as a standalone product without Front Office.

To add an activity:

  1. In your Watch List, click the Add Activity icon (speech bubble icon) in the Add Activity column for the agent.

  2. In the Add Activity panel:

    • Select a Type (e.g., Notes, Call, Email)

    • Set a Date

    • Add your Notes

  3. Click Save.

The activity is saved to the agent's profile and visible in their activity history. You can open, review, or download entries from there.

Use activity notes to track your recruiting narrative - "Left voicemail 1/16," "Sent intro email," "Met at conference." This history stays with the agent profile so you always have context before reaching out again.

Activity logged in Recruit does not currently sync with BoldTrail activity. If you're integrated, keep in mind these are separate logs. Improved communication between the two is planned for a future update.

Starring an Agent (Favorites)

The star icon lets you mark specific agents as favorites - a shortlist within your Watch List for agents you're actively prioritizing.

To star an agent:

  1. Open the agent's profile from your Watch List.

  2. Click the star icon before to their name.

The agent is added to your Favorites list.

Use your Watch List to track everyone you're monitoring, and use Stars for your top targets - agents who would be a strong fit for your brokerage right now. It keeps your shortlist separate from your broader pipeline without losing anyone.

Hashtags in Recruit

Hashtags in Recruit connect to BoldTrail Front Office smart campaigns. They are applied when you add an agent as a contact and are not used to filter or display information within Recruit itself.

Where hashtags appear:

  • In the Agent Info section of the agent's Recruit profile (after they're added to BoldTrail)

  • In the Contacts section of Front Office CRM under the standard hashtags field

Hashtags trigger smart campaigns in Front Office. For example, tagging a contact with new agent at the point of adding them can automatically enroll them in a targeted email sequence.

Hashtag functionality requires BoldTrail integration. If Recruit is not connected to Front Office, hashtags will not appear or function.

Managing watchlisted agents

Agent info

  • Lists agents on your watchlist alongside their transactional details, total sales volume, and three years' total amount dynamics.

  • Users can indicate interactions with agents by utilizing the "chat bubble" icon, logging actions such as emails, texts, meetings, and more.

Adding and exporting agents

  • Clicking on "+Add" allows users to search for and add new agents to their watchlist, expanding their recruitment pool.

  • Additionally, the "Export Results" feature enables the export of the agent list as a CSV file for further analysis or external use.
