BHHS Franchise Reporting Integration

This integration is designed exclusively for Berkshire Hathaway HomeServices Affiliated Franchisees that use REflex to report statistics.

This comprehensive guide provides detailed instructions for implementing and using the BHHS Franchise Reporting. Follow the steps below to ensure proper add-on configuration and successful transaction reporting to BHHS.

Before submitting any transaction, ensure you meet these basic requirements:

  • All agents involved in the transaction must be mapped to BHHS agents in the system.

  • The account on the transaction must be properly mapped to a BHHS office.

  • The transaction type must be mapped to a BHHS transaction type.

    • All default BoldTrail BackOffice transaction types are already mapped.

  • The property type must be specified and mapped to a BHHS property type.

Additionally, BHHS has specific requirements:

  • Acceptance date is required for "Sales Transaction" types.

  • Contact information:

    • For listing/seller representation: seller contact information must be included.

    • For buyer representation: at least one buyer must be included in the contacts.

    • For dual representation (both sides): both buyer and seller contacts are required.

Step 1: Connect the add-on

  1. Navigate to Add-ons > BHHS > Get started button.

  2. Enter your assigned BHHS company ID

    1. The company ID is a state abbreviation followed by three numbers (e.g., PA123).

  3. Look over the confirmation dialog to verify the correct account selection and confirm to proceed with integration.

Upon confirmation, the system automatically retrieves and caches your entity information from the database, associating it with your account.

When the add-on is successfully connected, you'll see a new BHHS menu item under the TO DO section:

Step 2: Ensure correct data mapping

Proper data mapping ensures accurate information transmission between your system and BHHS. This section outlines the required mapping procedures.

Offices

On the Offices tab, click "Not matched" to trigger the office selection menu and select the office to be matched.

Agents

On the Agents tab, follow the same process: click "Not matched" to trigger the agent selection menu, where you can either match an existing agent or mark one as inactive.

Filters

On the Filters tab, you can select which offices and transaction types you want to include or exclude from the reporting.

Fields

The Fields tab allows you to match:

  • Transaction types

  • Property types and subtypes

Below, you can also select which commission tags you want to report as deductions:

Automatic data push for closed transactions

This toggle controls whether closed transactions are automatically sent to BHHS or require manual review before submission.

  • Enabled: Closed transactions will be automatically pushed to BHHS without any additional user action. This allows for a hands-off process, similar to previous behavior.

  • Disabled (default): You must manually review and push transactions to BHHS. This provides an opportunity to review the data before it's sent.

    • If there are any conflicts in the transaction, they must be resolved before the Push data to BHHS option becomes available.

By default, this option is disabled to give you a chance to validate transactions before sending.

Step 3: Manage transaction reporting and resolve conflicts

One you've finalized commissions on your transaction and closed it, the data will be automatically pushed to BHHS. You can access the report history and conflicts by visiting the BHHS page under the TO DO tab.

History

The History tab allows you to see the list of all stats reported, categorized by month.

Conflicts

You can resolve conflicts by either (1) clicking the "resolve issues" link or (2) doing it straight from the right tab of the BHSS > Conflicts page.
