API Nation provides some BoldTrail BackOffice integrations. This guide covers what you pay for, what is already included, and what to sort out before you connect anything.
What's already included
You do not pay for every API Nation integration. Several are covered for BoldTrail BackOffice customers, so there is no separate API Nation bill for them. That currently includes:
QuickBooks Online
QuickBooks Desktop
SkySlope
Other integrations may also be covered, and integrations outside the covered list are billed to you by API Nation on one of their plans. Before you budget for anything, confirm your own covered list with your BoldTrail BackOffice contact. It takes a minute and saves you paying for something you already have.
How pricing works
For integrations you pay for, API Nation uses plans based on a monthly record allowance. Plans include unlimited apps and workflows, and your usage is limited by the number of records included in your plan. Entry plans start around $19 per month for 1,000 records.

Understanding records
Your record usage depends on the data your workflows move. API Nation counts a record each time a workflow creates a piece of data in one of your connected apps: a row added to a spreadsheet, a folder created in Google Drive, a document copied across. The count resets at the start of each billing cycle. API Nation's plans page has their full usage explanation.
Because the count depends entirely on which apps and workflows you connect, ask API Nation to explain what counts toward usage for your specific setup.

If you reach your record limit
Nothing is lost if you run out of records mid-month. Here is what happens:
At 80% of your allowance, API Nation emails you a warning.
At 100%, the integration pauses.
At your next billing renewal, it resumes on its own and works through the data that built up while it was paused.
If you need that data sooner than the renewal date, you can upgrade your plan to release it right away.
Changing your plan
You can manage, upgrade, or downgrade your plan yourself from your API Nation portal, along with your workflow logs and a usage meter that shows how much of your allowance you have used.
One timing detail worth knowing: a downgrade has to be scheduled before your next billing date. API Nation cannot adjust a plan after it has billed, so if you want to move down a tier, schedule it ahead of the renewal rather than after.
Before you connect
List the apps you want to connect and the data you want to sync or back up.
Check with your BoldTrail BackOffice contact whether your integration is already covered. If it is, you are done.
If it is not, contact API Nation to discuss your setup. Ask their team to estimate usage for both the initial data transfer and ongoing activity, recommend a plan, and confirm the current price.

If you already have an API Nation subscription
Some long-standing subscribers are on older plans that were frozen in place when the record-based pricing was introduced. If that is you, your current pricing stays as it is until you change the subscription. Adding a new app or modifying the subscription moves the account onto current pricing.
So before you add anything, contact API Nation and ask what the change would do to your bill. Better to know the number in advance than to find it on the next invoice.
