Agent Billing: Guide for agents

Your brokerage uses the Agent Billing module to bill you for things like monthly dues and fees, as one-time or recurring charges, and to collect those payments from a card you keep on file. This guide covers what you can see and do as an agent.

Where can I see all my payment methods?

Payment methods are listed on the Billing page under the USER menu section.

What does a default payment method mean?

You, as an agent, can have multiple credit cards added to BoldTrail BackOffice. One of those credit cards can be marked as your default. That way, admins know what card to use next time they process a one-time or set up a recurring fee.

You can set or change your default on the Billing page under the USER menu. Recurring charges run against whichever card is marked as your default at the time of the charge.

How do I add or update a credit card?

Go to the Billing page under the USER menu and select Add credit card. Your card details go directly to the payment provider, which returns a secure token. Your card number is never stored in BoldTrail BackOffice.

Your brokerage admin can also add or update a card for you if you would rather not do it yourself.

To replace a card, add the new one, mark it as your default, then remove the old one.

If your brokerage asks you to add a card for a new payment processor, add it even if you already have a card on file. Cards are held by the processor, so a card added under a previous processor cannot be carried over.

Can I update or cancel a recurring charge?

Contact your brokerage admin. They set up recurring charges and are the only ones who can change or cancel them.

If you were charged in error, contact your admin as well. They can request a void or a refund on your behalf. Removing a payment record does not reverse the charge on its own.

Why is there a processing fee on my invoice?

Your brokerage chooses whether it absorbs the payment processing fee or passes it on to the agent being charged. If it is passed on, you will see a note about the fee on your invoice. Your brokerage sets this, so ask your admin if you have a question about it.

Does BoldTrail BackOffice notify me of any updates or charges?

BoldTrail BackOffice will notify you about any updates to your payment methods via email notifications. We will let you know:

  • when a new credit card is added to your BoldTrail BackOffice account

  • when a credit card is updated

  • when a credit card is marked as default

  • every time a credit card is charged

  • in case of a failed charge and

  • when a credit card is removed

When you add a card, the payment gateway stores it and returns a secure token that is used to process the charges your brokerage sets up.

You can get your billing statement from the Billing page under the USER menu section.
