Commissions: Exclude a Transaction from Agent's Commission Plan

BoldTrail BackOffice makes it easy to exclude a transaction from counting towards an agent's commission plan and cap for special circumstances. For example, you may want to exclude a transaction that was cancelled, refunded, or disputed by the client. This way, the next transaction will be calculated at the same point in the agent's commission plan as the excluded one, ensuring accurate cap management.

If your company has a franchise fee based on a tag deduction set to a sliding scale, selecting "Exclude transaction" ensures these fees aren't counted. This applies to each agent involved, maintaining calculation accuracy.

When excluding transactions retroactively, be aware that changes may not reflect immediately due to the system's cache-based nature. After making exclusion changes, it's recommended to reapply the agent's plan to ensure updates take effect properly.

Please note that transactions marked as 'Excluded' will still be visible in the system but will not count toward commission calculations or caps. Their appearance in specific reports may vary depending on system configuration.

In addition to using the 'Exclude transaction' feature, another method to prevent a transaction from contributing to an agent's cap is by unfinalizing its commissions. This is particularly useful for transactions that were finalized prematurely or in error, while still keeping the transaction visible in reports.

To exclude a transaction from an agent’s commission plan, follow these steps:

  1. Go to Transactions > Selected transaction you want to exclude > Commissions.

  2. If the agent uses a sliding scale plan, you will see an option to Exclude transaction under their name. This option is available for each agent on the transaction, so you can exclude it from one agent’s plan but not the others.

  3. Toggle the Exclude transaction option to enable it.

    1. Note that when enabled, this transaction will be excluded from adding to the agent’s commission period. The next transaction for the agent will be at the same point in the agent’s period as this transaction.

  4. Save your changes and confirm the exclusion.

When you exclude a transaction from an agent’s commission plan, the amount contributed towards the commission period does not increase as it normally would from this transaction. The next transaction will calculate at the same point that this one did.

For example, if $12,000 is contributed towards a user’s $15k cap plan, the next transaction for that user is excluded, the following transaction for that user is calculated with the contribution amount still at $12k.
