Connecting your MLS allows you to eliminate double-entries, automatically see all active listings and their updates in your account. A full-feed MLS integration also allows you to search for any listing on the MLS using the MLS # or property address.

What types of MLS integrations are available?

BoldTrail BackOffice offers two different versions of RETS integrations with MLS. The first is a listings-only feed, which would provide you any listing that falls under your office’s Office ID # with that MLS. A second full-feed option allows you to search through the entire MLS. Not every MLS offers a full feed. And, many that do, charge you for this type of service.

How do I connect the MLS integration?

You can connect the MLS integration from the Add-ons > MLS page.

How do I set up an MLS integration?

How do I access the imported listings?

You can access them as incoming transactions from the Transactions page.

How do I accept or discard an incoming transaction?

To accept or discard an incoming transaction from the MLS, navigate to Transactions under OVERVIEW and expand the Incoming transactions option.

Here you can either accept a transaction or discard it. If you accept the transaction, it will auto-populate the address and any other information pulled from MLS into fields. Discarding it deletes the incoming transaction from BoldTrail BackOffice.

How often are MLS listings synced to BoldTrail BackOffice?

MLS listings are synced to BoldTrail BackOffice every 5 minutes.

Who can see incoming updates for a transaction?

All transaction participants can see incoming updates for a transaction.

How do I know if a transaction has updates in MLS?

Transactions that have updates in MLS are marked as having CHANGES in Incoming transactions in BoldTrail BackOffice.

How do I accept updates from MLS?

To accept an update for a transaction from the MLS, navigate to Transactions under OVERVIEW and expand the Incoming transactions option. Click Accept next to a transaction marked as having CHANGES to be able to view and accept the changes.

You can also accept or discard changes from a Transaction page by clicking the Update now button in the main menu. To get to the page, navigate to Transactions under OVERVIEW and select a transaction by clicking it.

How do I search MLS and bring deals into BoldTrail BackOffice?

Within a full-feed MLS integration, you can search for any listing on the MLS using the MLS # or property address.

How do I accept updates from MLS?

To accept updates from MLS, locate the 'Incoming updates' dropdown section on the Transactions page. Within this section, you'll notice the 'CHANGES' badge adjacent to the transaction line item. Click 'Accept' near the transaction to trigger a modal window showcasing all the changes. To apply specific changes, tick the checkboxes next to them and click 'Update.' After selecting the desired changes, they will be applied to the transaction.

Can agents accept their own transactions?

Agents can accept transactions in two cases:

  1. If an agent is directly assigned to a transaction, it automatically becomes its owner. The agent still needs to add other contacts manually.

  2. Agents with the 'Can manage transactions' permission can oversee transactions throughout the brokerage and accept them.

How does the assignment of incoming MLS transactions work?

When you assign an agent to an incoming MLS transaction, that agent will now access the transaction update and can accept or decline it. Assignment can be done manually by clicking the assign to dropdown near the related transaction in the 'Incoming updates' list.

Alternatively, you can enable automatic assignments through the add-on page configurations, ensuring smooth and efficient distribution.

How do I manage my MLS add-on settings?

Navigate to Add-ons > MLS > Configuration. In this section, you'll find two toggles and a list of agents associated with your brokerage.

When enabled:

  • Search active listings on demand allows you to search MLS by address or #

  • Load my listing as incoming transactions display the Incoming updates section on the Transactions page

How do I adjust assigned agents on the add-on configuration page?

Navigate to Add-ons > MLS > Configuration. In the list of agents, each agent's details include the connected MLS sites reflected by columns on the right side of the screen.

By clicking on 'not set,' you can establish the Agent ID for each MLS connection. This action automatically assigns these agents to relevant transactions on the 'Incoming updates' list.

How do I edit, disconnect, or add new MLS?

Towards the page's bottom, locate the 'Connected MLS' block, where you can manually synchronize, disconnect, and edit office MLS numbers. Click connect more... in order to connect new MLS (requires Office MLS #'s to proceed).
