BoldTrail BackOffice allows you to zip up closed transactions and their related documents directly from your Dropbox account. Only transactions marked as "closed" after enabling the Dropbox integration feature will automatically sync, ensuring that finalized files are transferred efficiently.

How do I connect Dropbox to my BoldTrail BackOffice account?

From the Add-ons page, select the Dropbox section, click Get started, and then Connect button. This integration is free for Standard or Enterprise subscriptions, but you should monitor Dropbox storage limits to avoid potential issues.

On the dropbox.com page, click Allow to let BoldTrail BackOffice access your Dropbox account.

Now you're all set! Find your transactional files in the Apps > BoldTrail BackOffice folder on Dropbox. Note that only transactions marked as "closed" after enabling the Dropbox integration will automatically sync. You can stop syncing closed transactions to your Dropbox account by disabling the related toggle on the Add-ons > Dropbox page. If you need additional storage or functionality, consider integrating with Google Drive or using manual download options for individual transactions.

Managing Past Transactions

To sync past transactions (those closed before enabling the Dropbox integration):

  1. Open the transaction within BoldTrail BackOffice.

  2. Reopen the transaction to change its status.

  3. Close the transaction again, which will trigger the system to recognize it as recently closed and sync it automatically to your Dropbox account. This process needs to be repeated for each past transaction.

Troubleshooting Sync Issues

If you encounter difficulties syncing transactions to Dropbox:

  • Check the Integration Toggle: Ensure the "Closed Transactions" toggle is turned on in settings. If disabled, no files will sync. This option is controlled by users, allowing you to temporarily pause syncing if needed.

  • Verify Sync Status: Sync only occurs with newly closed transactions or past ones closed following the reopen-and-close procedure.

  • Error with Past Transactions: If older transactions are not syncing even after re-closing them, verify their status and attempt the reopen-close procedure again.

Additional Tips

  • It may take a few moments for files to appear in your Dropbox folder after they are synced. Verify your Dropbox folder structure to confirm successful uploads.

  • Utilize this process selectively for transactions requiring additional backup or collaboration. By following these steps, you can ensure efficient document syncing with Dropbox using BoldTrail BackOffice.
