How do I add a new contact within a transaction?

To add a contact within your transaction, from its page select Action > Add user / contacts. To add an existing user or contact, simply type their name into a field. If you want to create a new contact, start typing their name and then click the Create new link. In a pop-up window, fill out the necessary fields of your new contact, select the needed role and click Add. To assign a contact the role of 'Buyer' in a transaction:

  1. Begin by typing the contact's name in the designated field in the transaction interface.

  2. Select the contact from the dropdown menu. This action will:

    • Populate the contact’s name in the transaction list.

    • Associate the entity type and role, displayed alongside their name.

  3. If the contact does not exist:

    • Create them as a contact using the option available in the dropdown menu. Ensure that all relevant roles in the transaction form are filled to proceed without error.

How do I delete a contact from the transaction?

Select the contact within a transaction and click Revoke access on the right-side panel.

Standard Deletion Process

  1. Open the Contacts section in BoldTrail BackOffice.

  2. Search for and select the contact you wish to delete.

  3. Click the delete button located in the Contacts section.

Constraints and Workarounds

  • If the contact is linked to a transaction, deletion may not be directly possible. In this case:

    1. Either unlink the contact from associated transactions first.

    2. Or, as a workaround, rename the contact to something like "Do Not Use." Note: Some Q&A sources indicate that deletion and transaction reassignment are independent, while others suggest unlinking may be required. Users experiencing issues should attempt unlinking if necessary before deletion.

  • Always ensure any necessary unlinking or reassignment is performed before attempting to delete a contact.

  • Verify role assignments in transactions to avoid errors during form submissions.

How do I change a transaction owner?

Select the contact within a transaction and select the Transaction owner checkbox button on the right-side panel.

Moving Transactions Between Contacts and Agents

To move transactions from a contact to an agent:

  1. Navigate to the Users & Contacts page or the Finance > Commissions page for the respective transaction.

    • Locate the transaction and identify the contact associated with it.

  2. Add the intended user as an agent under either of these sections.

    • Once added, the user will be able to view the transaction in their list. Note: These actions are independent of the deletion process. Moving transactions first is optional.

How do I create or edit a contact?

Go to Contacts > Add contact. and proceed with filling out the needed info. If you want to edit a contact, click the Edit button on the right-side panel.

You should have a Can manage private contacts permission to manage contacts.

Public vs Private contacts

When you add a contact, you'll see an 'available to:' option. If it is set to everyone, the contact's view will be public for all users across your company. If you don't want to share the contact info with your company, make sure to set a 'me only (private)' option.
