How to Revoke Document Approval

Overview

The Revoke Approval feature allows you to quickly undo document approvals without deleting the document or requiring your team to start over. This gives you the flexibility to take a second look at documents while preserving all the original work and information.

This feature is perfect when you need to:

  • Take another look at a document you approved too quickly

  • Review additional details before finalizing approval

  • Correct an approval that was granted by mistake

  • Step back in your workflow without losing any work

Please note that you must have "Can approve documents" permission enabled, and the document must currently be in approved status for the button to appear.

How revoke approval works

  1. Navigate to your approved document's task screen and click "Revoke approval"

  2. Confirm your action in the pop-up dialog that appears

  3. The document returns to "submitted for approval" status

What happens next

When you revoke approval, the document status changes back to "submitted for approval" and the task updates automatically. An entry is added to the activity log, all document information remains intact, and the Revoke Approval button disappears since the document is no longer approved. You can review and approve the document again whenever you're ready.
