Using the Brokerage Intelligence skill in BoldTrail BackOffice MCP

Ask your AI assistant to build your dashboard, answer three questions, and it builds a dashboard from your BoldTrail BackOffice reports.

Ask your AI assistant to build your dashboard, answer three questions, and it builds a dashboard from your BoldTrail BackOffice reports. The dashboard has three views: Close-out (open deals that block month-end), Pulse (office net against your goal) and Agents (production by agent). The skill reads your data and changes nothing in your account.

Prerequisites

  • BoldTrail BackOffice connected to your AI assistant through the MCP. If you have not connected it yet, follow Connect BoldTrail BackOffice to your AI assistant first.

  • A user role that can open reports in BoldTrail BackOffice. The skill reads the same reports you see under Reports.

Start it

In a new chat, type:

Build my Brokerage Intelligence dashboard.

Your assistant asks three questions before it reads anything. Each answer changes what you get, so it helps to have them ready.

1. What is your 2026 office net goal? Type a dollar amount, for example $60,000. Office net is what the brokerage keeps after agent commissions, the same "office net" column you see in your production reports. The goal powers the Office net vs goal card. You can skip it and type a goal into the dashboard later.

2. What do you need today: close out the month, check the pulse, or review agents? This picks the view that opens first. All three views are always one click away.

3. All offices, or one? Your assistant lists the offices it found in your user list, for example "Harbor Office and Hillcrest Office". Pick one, or answer "All offices". You can change it later with the Office filter.

Your assistant then reads five reports (Production detail, Pendings detail, Production summary, Document review status, Listings detail) and the commission status of each pending deal.

Read the dashboard

The top line shows your account name and the date the data was read, for example "Data as of 2026-10-02". Everything you see is as of that date. Ask your assistant to rebuild the dashboard to get fresh numbers.

The toolbar

The toolbar stays at the top as you scroll.

  1. Close-out, Pulse, Agents switch views. The red number on Close-out counts the deals that need you: past their closing date, or holding a document you have to review.

  2. Office and Side (buyer, seller, both) filter every number on the page.

  3. Closed in sets the period for closed deals: this year so far, a quarter, or the last 30 days. Pending deals and listings always show in full, because they are still open.

  4. Goal is your office net goal. Change it and the Pulse view updates.

This week: 3 actions

Three short actions, each naming the deals or agents involved, for example: "Close or re-date 3 deals past the closing date. $15,120 office net is still pending: 4411 Park Blvd (Sofia, 6 days past)...". Each card has a button that opens the matching list.

Close-out

Every pending deal and active listing, earliest closing date first. Each row shows the agent, office, side, closing or listing date, office net (pending deals), and how many documents are missing or overdue. Flags call out what needs attention: days past close, rejected documents, documents to review, documents uploaded but not submitted, and commissions not yet finalized.

Pulse

  • Office net vs goal: closed office net against your goal, plus what you reach if every pending deal closes.

  • By office: closed and pending office net and active listings for each office.

  • Office net by closing month: closed office net, pending deals whose closing date has passed (red), and pending deals still ahead (light blue).

Agents

One row per agent and team leader: closed deals, sales volume, office net, pending deals, pending office net and active listings. The status column shows who has closed deals, who has only open deals, and who has none.

Act on what you see

  • Copy reminder (each Close-out row) copies a message to the agent that names the deal, the closing date and the open documents. Paste it into email or a text. The skill does not send anything.

  • Export CSV downloads the table in the view you are on. The button names the table, for example "Export CSV · Close-out table".

  • Save as PDF opens your browser's print window. Choose Save as PDF. Filters and buttons are left off the printout.

  • Copy summary copies a plain-text "Brokerage Pulse" with the headline numbers and the three actions, ready for an email or a team chat.

Why a number may differ from a report you know

The dashboard uses your BoldTrail BackOffice reports as they are, with one rule applied consistently: a deal two of your agents share is split between them and counted once in totals.

  • Agent ranking counts a shared deal in full for each agent, so its office net total can be higher than the dashboard's.

  • Sales volume counts both sides of a deal you represented on both sides, as your production reports do. A $2,350,000 sale you represented on both sides adds $4,700,000.

  • Production summary includes pending deals unless you set its status to closed. The dashboard shows closed and pending separately.

The footnote at the bottom of the dashboard lists the source of every number.

What the dashboard does not show

  • Expenses, profit and loss, and bank balances.

  • Payments collected and agent balances. Those reports returned no data on the test account, so they are left out until they are verified.

  • Opportunities and cancelled deals.

If something looks wrong

Tell your assistant what you expected and what you see, for example "Harbor Office shows $19,020 closed but I expected more". It can re-read the report behind that number and show you the deals it counted. If a deal is missing, check its status and closing date in BoldTrail BackOffice: the dashboard places deals by those two fields.
